AI isn't a feature. It's how TrainedTeam works.
Most training platforms added an “AI Assistant” button to a ten-year-old LMS. We built around AI from the first line of code - so every feature, from the blank-page moment to the audit-ready proof, is shaped by it.
Most platforms added AI. We built around it.
Bolting a prompt box onto an existing product gets you marketing points. It does not change the product. Here's what AI-native actually looks like in five places it matters.
How most training platforms added AI.
Entry point
A "Generate" button on a blank document
Output quality
Generic paragraphs that ignore your org
Interaction model
One-shot: ask, get output, accept or reject
Grounding
No context. Hallucinates your business.
Pricing
Premium add-on, usually on the top tier
How TrainedTeam was designed.

Multi-turn chat threads per doc, saved and returnable
Grounding
Grounded in your SOPs, collections, and style profile

Eight ways AI works inside the product.
Not a feature dump. Every one of these is in production and shipping. Three get deep-dives below.
Start from a title
"How to close the shop" - AI writes the full step-by-step instruction. Edit what you want, publish in minutes.
Video → Instruction
Paste a Loom or YouTube link. AI extracts the steps, writes the content, and embeds just the relevant clip in each step.
AI chat on any doc
Multi-turn conversations threaded to each SOP or collection. Ask follow-ups, request simpler versions, test understanding - all with full doc context.
AI Spotlight
Highlight any sentence, focus AI on just that selection. Shorten, expand, simplify - seamless inline co-editing.
Scenario-based quizzes
Five test types tailored to content: comprehension, retention, application, safety, and sequence. Not generic trivia.
Voiceover narration
Turn any SOP into professional audio in one click. Perfect for shop-floor teams who train hands-free.
Learns your voice
Every published SOP teaches the AI your organisation's tone, terminology, and structure. Suggestions get better the more you publish.
Document wizard
AI asks the purpose and audience, builds a heading outline, and writes each section. A full policy in minutes, not hours.
Power on the machine
Watch from 0:00 to 1:23
Locate the main power switch on the right side of the machine. Ensure the area is clear before powering on...
Run the calibration sequence
Watch from 1:24 to 3:05
Your team's videos. Already written.
Every operations team has a Drive folder full of them. Looms your best technician recorded before she left. Zoom captures from onboardings. Phone videos from the kitchen. You have the knowledge. It is just trapped.
Paste the link. AI transcribes, extracts the procedural structure, writes a step-by-step instruction, and embeds the right clip at the right step. Ten minutes to a draft you would have spent hours writing.
- Paste a YouTube or Loom URL - nothing else
- AI extracts the transcript and proposes steps
- Review the outline before content is generated
- Each step gets its own clip, auto-timestamped
Inspect all safety guards
Check that all machine guards are in place and securely fastened before operation.
Test emergency stop buttons
Press each emergency stop to verify power cuts immediately.
Verify PPE availability
Confirm hard hats, hi-vis vests, and steel-toed boots are available for every operator before the shift begins.
Ask anything. It reads your docs first.
Every SOP and collection has a chat thread attached. Not a generic chatbot that makes up answers - an assistant that reads the specific document in front of you and responds grounded in it.
“Simplify step 3 for a new starter.” “What would I do if the temperature is two degrees over spec?” “Write three quiz questions that test this step.” Multi-turn, saved, and returnable weeks later.
- One chat thread per SOP or collection
- Answers drawn from your doc, not from nowhere
- Threads save automatically and you can return to them
- Ask for revisions, simplifications, or new quiz questions inline
The more you publish, the smarter it gets.
Off-the-shelf AI produces generic prose that ignores how your team actually writes. TrainedTeam's AI studies your published content and uses it as a style guide for every future suggestion.
Step 1 · Pre-operation safety check
“In order to ensure that all applicable personnel properly maintain the standard of safety expected on site, it is imperative that they carry out a thorough visual inspection of all relevant machinery guards prior to commencing the operational sequence.”
Step 1 · Pre-operation safety check
Check all guards are in place and tight. Check the emergency stop buttons work. Confirm PPE is available for every operator. Then start.
Extracts your tone
Short sentences or long. Formal or plain. First-person or imperative. Your house style becomes the default.
Learns your terminology
CAPA, HACCP, toolbox talk, CSCS, ACAS - the second time you publish a term, it is part of the profile.
Gets better silently
No configuration, no prompts. Every published SOP refines the profile. After 10, suggestions fit. After 50, they are indistinguishable.
Five principles, not marketing lines.
The technical choices we made and why. The short version of why AI here feels different from AI elsewhere.
Frontier AI models
We use the most capable models available, not the cheapest. Output quality you can ship with light editing.
Grounded in your content
AI answers from your SOPs, your collections, your style profile. If it does not know, it says so. No hallucinated "facts" about your business.
Learns your voice
Every published SOP becomes training data for your own style profile. Nothing leaves your organisation.
Your data is yours
Your content is never used to train external models. Your style profile is your competitive knowledge, not ours.
Human-in-the-loop by default
AI drafts. You approve. Every suggestion passes through a review step before it lands in a published SOP. No auto-publish.
What AI doesn't do.
Naming the limits makes the rest of what we say more credible. Here is what AI in TrainedTeam does not do - by design.
Replace safety review or legal sign-off
AI drafts are a starting point, not a final authority on compliance.
Invent context it does not have access to
If a procedure depends on org-specific knowledge not yet documented, AI will flag the gap, not fabricate a guess.
Publish anything without human approval
Every AI-generated step, answer, or quiz question passes through a review before it lands.
Train external models on your content
Your style profile stays inside your organisation. It is never pooled or used to train third-party models.
The questions we get asked.
Will AI replace our writers or SME reviewers?
+
No. AI removes the blank-page problem, not the reviewer role. Your experts still own the final version - they just spend ten minutes reviewing a draft instead of an hour writing one. In practice, teams that adopt AI-native SOP tools do more review, not less, because the volume of documentation goes up.
Do you use our content to train external models?
+
No. Your published SOPs inform your organisation's own style profile - the internal signal that helps the AI write in your voice. That profile is private to your org and is never pooled, shared, or sent to train any external model. Your content stays yours.
Which plans include AI?
+
AI content generation, AI chat, AI Spotlight, quiz generation, and the document wizard are included on every plan, including the free Starter tier. The one AI feature gated to Pro is voiceover narration, because the underlying audio synthesis costs scale per minute.
What happens if AI gets something wrong?
+
Every AI suggestion passes through a staging review before it becomes part of a published SOP. You see the AI's draft, edit it, and approve - nothing is auto-published. If you reject or rewrite a suggestion, the AI learns from that correction and factors it into future drafts.
Can AI handle our industry's jargon?
+
It learns it as you publish. The first time you mention "CAPA" or "HACCP" or "H&S induction," the AI has no idea what you mean. By your tenth published SOP, those terms are part of your style profile, and new suggestions use them correctly. The longer you use TrainedTeam, the better the output fits your world.
