1. Agreement to terms

TrainedTeam is operated by W&I Studio Ltd (“we”, “us”, “our”), a company registered in England and Wales. By accessing or using TrainedTeam (“the Service”), you agree to be bound by these Terms of Service. If you are using the Service on behalf of an organisation, you represent that you have authority to bind that organisation to these terms.

2. Description of service

TrainedTeam is a training and compliance platform that enables organisations to create, assign, and track training content. The Service includes content creation tools, AI-assisted features, training management, analytics, and compliance tracking.

3. Account registration

To use the Service, you must create an account with accurate information. You are responsible for maintaining the security of your account credentials. You must notify us immediately of any unauthorised access to your account.

4. Free and paid plans

The Service offers a Free plan and paid Pro plans. The Free plan is available at no cost with usage limitations as described on our pricing page. Pro plans are billed monthly or annually at the rates published on our pricing page. We reserve the right to change pricing with 30 days' notice to existing customers.

5. Payment and billing

  • Pro plan fees are billed in advance on a monthly or annual basis
  • All fees are in British Pounds (GBP) unless otherwise stated
  • Fees are non-refundable except where required by law
  • If payment fails, we will attempt to collect for up to 14 days before suspending access to Pro features. Your data will not be deleted.
  • You may cancel at any time. Cancellation takes effect at the end of the current billing period.

6. Your content

You retain ownership of all content you create using the Service (instructions, documents, training materials, etc.). By using the Service, you grant us a limited licence to store, display, and process your content solely for the purpose of providing the Service.

You are responsible for ensuring your content does not infringe any third-party rights, contain unlawful material, or violate any applicable laws.

7. AI-generated content

The Service includes AI features that generate content suggestions, quiz questions, and text transformations. AI-generated content is provided as a starting point and should be reviewed for accuracy before use. We do not guarantee the accuracy, completeness, or legal compliance of AI-generated content. You are responsible for reviewing and approving all content before publishing it to your team.

8. Templates

Templates provided in the Service are drafted to reflect UK legislation and guidance. They are provided as a starting point and should be reviewed by a qualified legal advisor before use in your specific circumstances. We do not guarantee that any template will meet your specific legal obligations.

9. E-signatures and compliance

The Service provides tools to capture electronic acknowledgments including typed names, timestamps, IP addresses, and document versions. These tools are designed to support your compliance record-keeping. However, we do not guarantee that these records will meet the specific evidential requirements of any particular legal proceeding, regulatory inspection, or audit. You should seek legal advice on the compliance requirements applicable to your organisation.

10. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose
  • Upload content that is defamatory, obscene, or infringes third-party rights
  • Attempt to gain unauthorised access to the Service or other users' accounts
  • Use the Service to send spam or unsolicited communications
  • Reverse engineer, decompile, or disassemble any part of the Service
  • Resell or redistribute the Service without our written consent

11. Data protection

We process personal data in accordance with our Privacy Policy and applicable UK data protection law. Where you use the Service to process personal data of your employees, contractors, or team members, you are the data controller and we are the data processor.

The data processing terms required by UK GDPR Article 28 (purpose, duration, sub-processors, security measures, audit rights, and international transfer safeguards) are reflected in this section together with sections 4 to 6 of our Privacy Policy. A standalone Data Processing Agreement that incorporates these terms is available on written request to privacy@trainedteam.com; we aim to respond within 5 working days.

12. Service availability

We aim to provide reliable access to the Service but do not guarantee uninterrupted availability. We may perform maintenance, updates, or experience outages. We will endeavour to provide reasonable notice of planned downtime.

13. Limitation of liability

To the maximum extent permitted by law:

  • The Service is provided “as is” without warranties of any kind, whether express or implied
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
  • Our total liability to you for any claims arising from the Service shall not exceed the total fees paid by you in the 12 months preceding the claim
  • Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law

14. Intellectual property

The Service, including its design, code, features, and branding, is owned by W&I Studio Ltd (trading as TrainedTeam) and protected by intellectual property laws. Your content remains yours. Our platform remains ours.

15. Termination

Either party may terminate this agreement at any time. You may delete your account through the Settings page. We may suspend or terminate your account if you breach these terms, with reasonable notice where possible. On termination, you may request an export of your data within 30 days.

16. Changes to terms

We may update these terms from time to time. We will notify registered users of material changes by email at least 30 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the updated terms.

17. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
