TrainedTeam vs Google Docs
Your processes shouldn't live in a shared drive that nobody checks.
Where Google Docs ends and TrainedTeam begins
Docs get outdated and forgotten
SOPs written in Google Docs quickly become stale. Nobody owns the review cycle. New versions get saved as "Copy of Copy of SOP v3 FINAL" and nobody knows which is current.
No way to assign or track
You can share a doc, but you can't assign it as training, set a due date, or see who's actually read it. Sharing a link is not training.
No testing or verification
Google Docs can't quiz someone on what they read. There's no way to verify understanding before they start doing the work.
Compliance is impossible to prove
When an auditor asks "can you prove this employee was trained on this procedure?", "I shared a Google Doc link" is not an acceptable answer.
No structure for onboarding
A folder of Google Docs is not an onboarding programme. There's no sequence, no progress tracking, no completion status, and no accountability.
Search across training is broken
Finding the right procedure across dozens of docs in nested folders takes longer than it should. In an emergency, that delay matters.
